Policies for All Events

These policies are considered the Southbound Events Agreement, which must be signed/approved prior to your event.

A $500 deposit is required for all events booked in The Peabody and will be applied to your final bill; the remaining balance is due 2 business days prior to the event. All deposits are non-refundable for cancellations occurring within 60 calendar days of the date of the event except for December events. To receive a deposit refund for a December event, the cancellation must be given to the event coordinator in writing before August 31st.

Final payment is due two days before the event and will be AUTOMATICALLY charged to the card on file, unless an alternate payment is specified. Any adjustments to the final invoice will be taken care at the conclusion of the event.

Final guest count must be received no later than 10 business days prior to the scheduled event. This is considered a guaranteed guest count and will not be subject to a reduction. Otherwise, the expected number listed on the catering contract will be used as the guaranteed number of guests, and any costs for number of persons exceeding the guaranteed count will be added accordingly. It is the responsibility of the client to send food selections and final headcount to the event coordinator at least TWO WEEKS prior to the event.

Basic staffing is provided for all events; additional staffing is available at an added cost.
A 20% service charge. State sales tax (and liquor tax when applicable) will be charged on all food, beverage, and service charges.

All food and beverage selections must be finalized and submitted to event coordinator two weeks prior to the event. If selections are not provided, they will be chosen on your behalf. 
Please notify the event coordinator, in writing, of any known food/beverage allergies and/or dietary restrictions that need to be addressed; this should be done at least 7 days before your event. Most menu items are available gluten free. All alcoholic beverages are charged by consumption (unless otherwise noted in your event contract) and must be prepared and served by Southbound staff only. By law, outside alcoholic
beverages are not permitted and we are not able to offer corkage at any time.

Live entertainment is only available in The Peabody and must be approved, in writing by the event coordinator. Presentation materials are available in The Peabody and must be requested at least 10 business days prior to the event date. On site materials include projector and screen with audio capability. A PA system is not included.

Please inform the event coordinator of any vendors, deliveries, etc. that are applicable to your event. We do not have space for storage of items the day before an event; any storage arrangements must be approved by the event director. All decor brought-in by the client or their vendor(s) should be removed at the conclusion of the event. Southbound is not responsible for any items left on premise after the event.

You are welcome to provide decor for your event; please coordinate the appropriate times for set-up of this with the event director. You are responsible for the removal of any said decor promptly after the conclusion of the event. Regrettably, we cannot permit glitter, confetti or unconfined flames (taper candles/sparklers) on premises. Any charges incurred due to damage of the event space during your event will be charged to the credit card listed on the event contract. Please note that any decor leaving remnants after (pine needles, glitter, etc.) will incur an additional clean-up fee.

Event start and end times are agreed upon and stated in the event contract. Events that extend beyond set times are subject to a fee per hour, not to be prorated. Events last 3 hours, not including set-up & breakdown.

Southbound's parking lot has approximately 70 spaces. There is additional parking along the street and in an adjacent lot across Chamblee Dunwoody Way (follow parking signs). Carpooling and Uber are strongly encouraged. As of 2023, there is additional parking in the multi-level parking deck accessible via our lot.

Due to the local and seasonal nature of our menus, events booked within two weeks of the event date are subject to limited menus and/or chef 's choice. It is the responsibility of the client to send food selections and final headcount to the event coordinator at least TWO WEEKS prior to the event.
